1. About us

Grove Workstays is a trading name of Gough Groves Management Ltd, registered in England and Wales (Company No. 16366770). Our registered address is 91-97 Saltergate, Chesterfield, S40 1LA.

In these terms, "we", "us" and "our" refers to Gough Groves Management Ltd trading as Grove Workstays. "You" and "your" refers to the client organisation or individual making an accommodation enquiry or booking through us.

2. Our role

We act as an accommodation sourcing and management agent. We identify, verify, and negotiate accommodation on your behalf, and manage the stay on an ongoing basis. We are not the owner or operator of the properties we source. The underlying accommodation agreement is between you and the property host or landlord; however, all commercial arrangements - including payment - are handled exclusively through us.

3. Enquiries and quotes

Submitting an enquiry through our website, by email, or by phone does not constitute a booking and creates no obligation on either party.

Following your enquiry, we will source suitable options and provide you with a written quote setting out the property details, duration, weekly or monthly rate, and any applicable sourcing fee. Quotes are indicative and subject to host availability at the time of confirmation.

4. Confirming a booking

A booking is confirmed when you provide written acceptance of our quote (by email or signed booking confirmation) and we confirm acceptance in writing. At that point, a binding agreement is formed between you and us on these terms.

We reserve the right to decline any booking at our discretion prior to confirmation.

5. Payment

All payments are made directly to Gough Groves Management Ltd. We collect and hold all funds and are responsible for making payment to the host on your behalf.

Unless otherwise agreed in writing:

  • Invoices are issued weekly or monthly in advance, as agreed at booking.
  • Payment is due within 14 days of invoice date.
  • Late payment may attract interest at 8% per annum above the Bank of England base rate under the Late Payment of Commercial Debts (Interest) Act 1998.

All rates are quoted inclusive of utilities (gas, electricity, water, and broadband) unless explicitly stated otherwise in your quote.

6. Duration and extensions

Bookings are made on a rolling weekly basis unless a fixed term is agreed in writing at the time of booking. You may request an extension at any time; extensions are subject to host availability and confirmation by us in writing.

7. Cancellation by you

You may end a rolling booking by giving us at least 7 days' written notice. Notice must be given by email to info@groveworkstays.co.uk.

For fixed-term bookings, early termination is subject to the notice period and any costs reasonably incurred by us as a result of early checkout, which will be set out in your booking confirmation.

Any amounts already invoiced and due at the point of cancellation remain payable.

8. Cancellation or disruption by the host

In the unlikely event a host cancels or becomes unavailable, we will use reasonable endeavours to source suitable alternative accommodation as quickly as possible. We are not liable for any loss, cost, or inconvenience arising from a host cancellation beyond refunding any amounts paid in advance for the affected period.

9. Property standards and your obligations

We verify every property before recommending it. However, you and your team are responsible for:

  • Using the property in a reasonable and responsible manner.
  • Reporting any maintenance issues or concerns to us promptly.
  • Leaving the property in the condition in which it was found, fair wear and tear excepted.
  • Complying with any reasonable house rules communicated to you at check-in.

You are responsible for any damage caused by you or your team beyond fair wear and tear. We reserve the right to pass on reasonable repair or cleaning costs where damage has been caused.

10. Our liability

We are not the owner or landlord of any property we source. To the fullest extent permitted by law, our liability to you in connection with any booking is limited to the total amounts paid by you to us in respect of that booking.

We are not liable for any indirect, consequential, or special loss, including loss of profit, loss of contract, or project delays arising from issues with accommodation.

Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.

11. Complaints

If you have a complaint about the service or a property, please contact us as soon as possible at info@groveworkstays.co.uk or 0333 050 2205. We will acknowledge your complaint within 2 business days and aim to resolve it within 10 business days.

12. Changes to these terms

We may update these terms from time to time. The version in force at the time your booking is confirmed applies to that booking. We will notify you of any material changes before they take effect for future bookings.

13. Governing law

These terms are governed by the laws of England and Wales. Any disputes arising under or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
